Who is responsible
Kenneth Graef operates AmherstFundraising.com as the coach organizing fundraising for the Amherst 8U team. This policy explains the website's use of personal information. Contact contact@amherstfundraising.com about privacy or support@amherstfundraising.com about an account or payment.
Information collected
We collect your email address, the name you provide and an optional phone number; registrations and fundraiser selections; player attribution when available; acknowledgment and communication preferences; and messages you submit. Payment records can include amount, method, date, registration reference, payment reports, receipt verification, collector identity, transfers, deposits, refunds and corrections. For prize activities, records may include results and the payout destination you supply. Please do not enter card numbers, bank account numbers, payment-app passwords, government identifiers or unrelated sensitive information in forms or messages.
Technical and communication records
The website uses essential cookies for sign-in and registration selections. Hosting, database and email services process operational and security information, which can include IP addresses, browser information, timestamps, error logs and email delivery events. The application also uses hashed network identifiers for certain abuse-prevention checks. Administrative changes and relevant consent choices are recorded for accountability. The site does not use personal information for targeted advertising or sell it.
Why information is used
We use information to sign you in, save registrations, provide payment instructions, investigate payment reports, maintain team financial records, communicate about your participation, fulfill published sponsorship or prize arrangements, prevent abuse and respond to requests. Promotional messages, if offered, are separate from essential account and transaction messages and follow your applicable preferences.
Public information
Public pages may show aggregate fundraising totals, sponsor names and recognition, supporter display names and messages, and published prize results. Available anonymous-display choices affect public recognition, not the private records needed to administer payments. A prize activity may have additional public-display rules; review them before entering. Receiving handles designated for team payments may be shown publicly. Your account email, phone number, private payment report and payout destination are not intended for public display. Never put private information in a public message.
Parents, players and cash collection
A player association identifies which player's team fundraising participation a contribution supports. The site is intended for adults, and children should not create accounts or send their own personal information. Player data should be supplied or approved by an authorized parent or guardian and limited to what the team needs; families may request correction or removal of public player details. If a parent-approval or cash-collection feature is offered, it may record the parent account, player association, coach approval, the relevant donor and registration details, amount, receipt decision and cash handover history. Collection requests should be visible only to the people involved and authorized administrators, not posted publicly. A family relationship or collection role must not be assumed from a supporter selecting a player.
Who receives information
Authorized administrators use information according to their assigned responsibilities. Approved collectors may receive the details needed to handle their assigned cash collections. Team financial records may be shared with Amherst Athletic Association for receiving, accounting for and reconciling team funds. Service providers include Vercel for hosting, Supabase for data and authentication, and Resend for email delivery; other configured security services may process information needed to protect the website. External payment services process payments under their own privacy policies. Information may also be disclosed when legally required or reasonably necessary to investigate fraud, resolve disputes or protect rights.
Security and retention
We use HTTPS, email sign-in codes, access controls and administrative records to protect information. No system can guarantee complete security. Financial and registration records are kept as needed for team accounting, reconciliation, disputes and applicable legal obligations. Other information is retained only while needed for its stated purpose or service operation. Closing an account does not automatically erase financial records, audit history or backup copies that must or reasonably need to be retained.
Your choices and requests
You can use the account controls that are available to update your details and communication preferences. Email contact@amherstfundraising.com to request access, correction, account closure or deletion of information that is no longer needed, or to raise a concern about a child's information. We may need to verify your identity and explain any records that must be retained. SMS is not currently enabled; enabling it later will require the applicable disclosures and consent choices. Essential sign-in and transaction emails remain separate from optional marketing.
Changes
This policy takes effect on the date shown above. Material changes will be identified on the website or communicated to affected users as appropriate. The bank branch address is not the coach's mailing address, and no personal home address is published by this policy.
